How to define maintenance request priority levels

Priority should describe consequence and response, not the emotion or job title of the person asking.

The short answer

Define maintenance priorities from observable factors: immediate safety, loss of essential service, risk of escalating damage, number and vulnerability of people affected, security, legal or contract requirement and availability of a safe workaround. Give each level a response target, escalation path and examples.

Keep the scale small

Three or four clear levels are often easier to apply than a ten-point scale. The distinction matters only when it changes response, escalation or resource allocation.

Response and resolution are different

A priority can define how quickly someone must assess or control the issue without promising that parts, access and permanent repair will be available in the same period.

A practical process

  1. List safety, service, damage, security and contract factors.
  2. Group them into a small number of clear priority levels.
  3. Set response, update and escalation expectations for each level.
  4. Train with real examples and review misclassified requests.
