A field service data migration checklist

Migrate the data needed to operate and prove current work; archive the rest deliberately instead of importing every old inconsistency.

The short answer

A field service migration should inventory source systems, owners and retention needs; define target fields and stable identifiers; deduplicate customers, sites, workers and vendors; validate contracts, open jobs, balances and document links; test a sample import and export; reconcile counts and critical values; and preserve a controlled archive and rollback path.

Relationships are the hard part

A customer row can import cleanly while its sites, contracts, jobs and invoices link to the wrong identity. Test end-to-end records, not isolated tables.

Do not import unreviewed access

User roles, vendor access and worker visibility should be recreated from current authority. Historical accounts should not gain access merely because they existed in the old system.

A practical process

  1. Inventory data sources, owners, quality, retention and current use.
  2. Map identifiers, relationships, fields and transformation rules.
  3. Clean and sample-test import, permissions, links and export.
  4. Reconcile, accept, retain archive and document final ownership.

Only when they support service history, contract, customer, finance or retention needs. Older detail can remain in a controlled archive if it need not drive daily work.

When can the old system be switched off?
