A simple shift handover template for field service

A handover should transfer responsibility for open work, not retell the entire shift.

The short answer

A field service shift handover should list active and blocked jobs, current status, last confirmed action, site or customer commitment, risk, missing evidence, next action, deadline and new owner. Completed work only needs mention when it creates follow-up or a customer issue.

Use a fixed order

Review safety or service-critical issues first, then blocked work, active work nearing commitment and routine follow-up. A stable order helps the receiving team find the most consequential item quickly.

Close acknowledgement

The receiving person should confirm ownership of the handover. A sent message is not proof that responsibility moved, especially across nights, weekends or locations.

A practical process

  1. Filter the shift to open, blocked or exception work.
  2. Record status, risk, next action, deadline and proposed owner.
  3. Link each item to its current job record.
  4. Confirm the receiving person accepted responsibility.

Questions about a simple shift handover template for field service

Should completed jobs appear in handover?

Only when they still need approval, customer communication, invoicing evidence or another follow-up. Otherwise the completed job record is enough.

Can a handover be a chat message?

It can notify the next team, but the authoritative status and actions should remain on the job records so later reviewers do not depend on chat history.

Who owns a blocked job after handover?

Name the person responsible for the next action, even when another party must provide access, material or approval.
